Who you are

What is Pacific Standard?

Pacific Standard is a monthly finance department for contractors, home services and other businesses. We close your books every month, watch payroll, plan your taxes all year and put a mid-year projection of what you'll owe in writing. Every business and personal tax return we list when you sign is inside the same monthly price.

Who do you work with?

Owners of construction and home service companies doing $500K to $20M a year who want to grow and want a finance department behind that growth, in all 50 states. Other kinds of businesses at that size get a price set for their business on the free Game Plan call.

What is included in the monthly fee?

Books closed and tied to the bank every month, with your profit and loss, balance sheet and cash flow, every business and personal tax return we list when you sign, tax planning all year with a mid-year projection of what you'll owe, payroll checked every month, 1099s for your subs and vendors, with the W-9s collected before year end, a monthly email of everything we did with your key numbers against your budget, a written Keep More Memo every quarter, a strategy meeting around your goals offered every quarter and never required, where we set next year's budget at year end and show what each lead source costs you, and calls whenever you need them with no invoice for a question.

Is my personal tax return included?

Yes. Your personal return, your spouse's if you file together, and your rentals are inside the monthly fee. We list each one when you sign. It changes only in writing, with 30 days notice.

Cost

How much does it cost?

It starts at $2,500 a month for contractors and home services. Your exact number comes from the free Game Plan call, and it is in writing before you owe anything.

I already have a bookkeeper and a CPA. Why switch?

So look, your bookkeeper and your CPA cover 2 of the 10 things on that list, and the other 8 are where the money leaks out. Let's just say two $140 parts a week never make it onto the invoice, that's over $14,000 a year, and nobody's checking for it. We cover all 10 for one monthly price, and on the Game Plan call you'll see what your setup is leaving behind before you owe anything.

Is there a contract?

No contract and no exit fee. You pay the first month on your start date, then monthly. You can cancel anytime and you get your complete books, every document and a handoff call with your next accountant.

Getting started

How do I get started?

Get your free Game Plan. Pick a time online for a 20 minute Google Meet with our team. We ask a few questions about how your business runs, and on the call you'll know what your setup is leaving behind. There's nothing to prepare and nothing to send us before the call. You can also call (310) 981-3250.

What happens on the Game Plan call?

Twenty minutes on Google Meet about how your business runs today, who does what and what it costs you. Before we hang up you'll know what your setup is leaving behind. If something is worth fixing, we'll show you how we'd fix it and your monthly price on the same call. You get it in writing before you owe anything, and if you want to go ahead, you can sign up that day. If your setup is in good shape, we'll tell you that. There's nothing to prepare and nothing to send us before the call.

Who does the switch?

We do the switch: the 30-Day Switch, done within 30 days from the day you give us access, or your first month is refunded. The terms spell out how it works.

Do I have to replace my office manager or bookkeeper?

No. Your office manager keeps the day to day, like bills, deposits and vendor calls. We take the month end close, the returns and the tax number, and we put in writing who does what.

What will you ask of me each month?

We only ask when the books can't answer it, usually a couple of quick questions a month by text or email.

Contractors and Home Services 36 questions

Knowing if a job makes money

What is a WIP schedule and do I need one?

It lists every open job with the contract, cost to date, percent done and what you have billed. If you run more than a couple of jobs at a time it is how you know what each job is really making.

How do you do my WIP schedule?

From your books. Every cost is coded to its job, and we take contract values and change orders from what you send us and billings from your pay apps. Percent complete, earned revenue, over and under billing and expected profit come out every month. We use each job's budget for the cost to finish unless you tell us it changed, so there is nothing to fill out.

What is over and under billing, and why does it matter?

Under billing means work done that has not been invoiced yet. Over billing means you have invoiced ahead of the work. Both change what the job really made and what you owe in taxes, so we show both on every job every month. Together that is your WIP schedule.

How do you track billed against built?

Every month, for every job, we put the percent of the work done next to the percent of the contract billed. If you have built more than you have billed you are carrying the job on your own cash. If you have billed ahead, that money is not profit yet. You see the gap before it becomes a problem.

Do you code receipts and materials to each job?

Yes. Every purchase is coded to its job every month, so your profit per job is real and costs you paid for a customer get billed back on the next invoice instead of found at year end.

Does it work with the software we already use?

Yes. We connect to your QuickBooks, your payroll in Gusto or ADP and your job software, and each connection stays under your own account.

Can you track jobs that are done but not billed?

Yes. Every job that is finished and not invoiced yet is on one list with the date the work was done and the amount, so your office can bill it that week.

Getting paid

How do you handle change orders and draws?

We work from the books and the files you send us. When extra work is billed on a job with no change order in your file, we flag it with the amount, because no paper usually means no payment. We put each draw next to your cash so you can see how many days you are carrying a supplier before the next draw lands.

Can you help when a draw is late and payroll is due?

We put every payroll, supplier and draw date on one cash plan each month. You see a short week ahead of time and can call the owner, move a supplier or line up credit before it hits.

Why track pay apps if the GC pays eventually?

Because a pay app that goes in a week late can be paid a full cycle late. We age every pay app from the day it went in, so you see which jobs and which GCs are holding your cash.

Can you track retention and pay apps for subcontractors?

Yes. For subcontractors we track pay apps, retention held on every job and certified payroll every month, next to your books, your tax returns and your tax number.

How do I get retention paid faster?

Start by knowing exactly what is held. We list retention by job and by GC every month with the date each job finished, so you ask for it the week it is due, in writing, with the numbers ready.

Subs, payroll and compliance

How do you keep track of subcontractor paperwork?

We keep one list of every sub you pay, with the W-9 and the papers you send us, and flag anyone missing a W-9 before their next check. In January the 1099s come from the same list.

Do you prepare certified payroll reports?

We check them. Each month we compare the classes, hours and rates on your certified payroll to your payroll and daily reports and flag anything to fix before you submit. Your office or payroll provider still files them.

Do you check workers comp class codes on payroll?

Yes. Every month we check that each employee's comp class code matches the work they do, and we flag anything for you to confirm with your payroll provider.

Cash and everyday money

How do you plan cash for the slow season?

We look at your cash month by month, set a number to hold back from each busy month and track it, so payroll in the slow months is covered before they start.

How do you handle customers who pay by Zelle or check?

We match every deposit to the invoice it paid each month. Your open invoices then show what customers really owe, not payments that never got applied.

I buy supplies on my personal card. Is that a problem?

It is a missed deduction if nobody records it. We find business costs on your personal card each month and put them on the books, so they count in your tax number.

By trade

What does a home service company get?

Books closed every month, revenue and profit per truck and per tech, every business and personal tax return we list when you sign, payroll watched and a mid-year projection of what you'll owe. We work with HVAC, plumbing, electrical, roofing, garage door and other home service companies.

Why split service from installs?

They use crews, parts and cash differently. Seeing sales and profit for each side every month shows where to add a truck, where to raise prices and which work is not worth taking.

How do you track HVAC service memberships and rebates?

Every month we match membership payments, financing fees and manufacturer or utility rebates to the jobs they belong to, so you know what each truck actually made and the slow season is planned for.

How should an HVAC company book membership payments?

As membership revenue tied to the visits you owe, not lumped in with service calls. We count paid members, tune ups still owed and failed cards every month, so you know what the plan really brings in.

Why does financing change my install margin?

The lender pays you less than the price the customer signed for. We book that fee on every financed install, so the job shows what you really kept and your pricing can account for it.

Do you track utility and manufacturer rebates?

Yes. Every rebate you took off a customer's price is matched to the claim filed and the payment received. Rebates taken and never filed are flagged every month.

How often should a plumber update the flat rate price book?

Whenever your parts cost moves. We check your price book against supply house invoices every month and tell you which tasks to reprice and by how much.

Do you catch water heater installs that never got billed?

Yes. Every month we match each finished install to its invoice. Anything done and not billed yet is on one list with the amount, so your office can bill it that week.

How do you catch night calls billed at the day rate?

We compare the time on each service ticket to the rate on the invoice. Calls after hours without the after hours fee are flagged each month with the ticket numbers.

How do electrical contractors protect bids when copper prices change?

By knowing what the job costs today, not what it cost when you bid. We compare material bills to each bid every month and flag the jobs and the kinds of bids that need a new price.

What is held back depreciation on a roofing insurance job?

It is the part of the claim the insurer holds until the roof is finished and the final invoice goes in, also called recoverable depreciation. If nobody requests it, it never comes. We track it on every insurance job until it is paid.

Do you track supplements?

Yes. Each supplement is listed with what it covers, when it was sent and whether it was paid, so extra work found on the roof gets paid for.

How should a roofer set money aside for warranty calls?

Set a small share of every roof aside and keep it on the books. We track the reserve every month, so a leak call two winters from now is already paid for.

How do garage door companies stop losing parts off the truck?

Count them against the tickets. Each month we compare the parts pulled for every truck to the parts billed on that truck's tickets and flag the gap by truck, so you know where to look.

Which calls make a garage door company the most money?

It varies by shop, so we measure yours. Every month we split tickets into springs, openers, and tune ups, rollers and cables, with the average ticket and what each kind kept.

Do you work with pest, pool, landscaping, painting and cleaning companies?

Yes. Any home service company at $500K to $20M a year that wants to grow. We match every payment, keep your regular customers on today's price and send a mid-year projection of what you'll owe.

What if my trade is not on your list?

If you run a home service company at $500K to $20M a year and want to grow, the work is the same: books closed monthly, payments matched, payroll watched and a mid-year projection of what you'll owe. Tell us on the Game Plan call how your jobs and routes run.

Scope and price

Do you send change orders, manage lien waivers or run the job side?

No. Your team runs the jobs: change orders, billing the owner, lien waivers, permits, inspections and insurance. We are your finance department. We close your books, cost every job, track billed against earned, watch payroll, file every return and put a mid-year projection of what you'll owe in writing. When the numbers look off, like extra work billed with no change order in the file you sent us, we flag it and tell you what it means for your cash. You decide what to do.

How much does it cost for a contractor or home service company?

It starts at $2,500 a month for contractors and home services. Your exact number comes from the free Game Plan call, and it is in writing before you owe anything.
